Privacy Policy
Rainier Notary LLC ("Rainier Notary," "we," "us") respects your privacy. This page explains what information we collect, how we use it, and the choices you have.
Information we collect
Depending on how you interact with us, we may collect:
- Contact details you provide when requesting an appointment or messaging us — name, phone number, email address, and appointment address.
- Signing details for a scheduled appointment — the type of document/service, preferred date/time, file or order number, and any notes you share with us.
- Documents you or your title/escrow company upload to us for an appointment (for example, loan or mortgage documents), stored using encryption and automatically deleted 3 business days after the appointment is completed or cancelled.
- Account information if you sign up as a client-portal user or apply to work with us as a notary — name, phone, email, and a password (stored encrypted, never in plain text).
- The general location of a signing appointment, captured to keep an accurate appointment record.
- Payment and invoicing details processed through our invoicing/payments provider when you pay an invoice.
- Consent and agreement records — when you agree to our Terms of Service or to receive text messages, we keep the date and time of that agreement. When a notary signs our contractor agreement electronically, we also record the signer's typed name, the date and time, the IP address and browser used, and a fingerprint of the agreement text, as required to make the electronic signature verifiable under federal and Washington electronic-signature law.
ID verification during a signing: when a notary scans or photographs an ID as part of performing a notarization, that ID data is stored only in the notary's own device browser storage on their device, and is not uploaded to or stored on our servers.
How we use it
We use this information to schedule and perform notary and loan signing services, communicate with you about your appointment (by phone, email, or text — see our SMS Terms for text messaging specifics), process payment for services rendered, and, where legally required, verify identity as part of the notarial act itself.
How we share it
We share appointment and document information with the title company, escrow officer, lender, or other party you are completing a signing for, as needed to complete that transaction. We also share information with the service providers who help us operate — such as our messaging, email, hosting, document storage, and payment/invoicing providers — solely to deliver our services to you. We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Data security
Uploaded documents are encrypted, account passwords are stored using industry-standard hashing (never in plain text), and access to client and document information is limited to what's needed to perform our services.
Your choices
You can opt out of text messages at any time (see SMS Terms), and you can contact us to ask what information we have about you, to correct it, or to request deletion where we are not required to retain it (for example, notarial records are often subject to state recordkeeping requirements we must follow regardless of a deletion request).
